DEI Administrative Associate III Location Washington, DC : Job Summary Our Impact Office is hiring for a DEI Administrative Assistant III to join our dynamic team and support FHI 360's Diversity, Equity and Inclusion (DEI) initiatives. In this role, you will work closely with the DEI program manager to prepare documents and reports, maintain e-files, post information and communications, update our internal websites, assist employee-led communities, and help plan events. Additional duties include but are not limited to effective communication and interaction with employees at all levels of the organization, records management, financial data reconciliation, and coordinating with third-party vendors.   • Performs advanced-level administrative tasks.
  • Reviews data and information for completeness and accuracy using standard guidelines; performs tasks with attention to detail.
  • Schedule and coordinate activities like meetings, travel, conferences, speakers, events, etc.
  • Ensure that communications are promptly and accurately dispatched.
  • Works in partnership with other administrative associates to provide support.
  • Responds to staff requests for administrative support as needed.
  • Produce various documents, including general correspondences, memos, charts, tables, graphs, and spreadsheets.
  • Prepare reports, presentations, minutes, and graphics.
  • Coordinate set-up, invoicing, and payment for third-party suppliers and outside vendors.
  • Maintains various databases and spreadsheet files as requested.
  • Establish, develop, maintain, and update the global Diversity, Equity, and Inclusion (DEI) resource library.
  • Works independently or as a member of a team on special and ongoing projects.
  • Handle confidential and non-routine information.
Desired Qualifications:
  • Knowledge and understanding of DEI principles, methods, and practices.
  • Typically requires a minimum of 5+ years of relevant experience.
  • Experience working with global communities (e.g., gender, race, religion, and ethnicity).
  • In-depth understanding of Microsoft Office 365, SharePoint, and software used to perform day-to-day functions.
  • Experience with project planning and development and maintaining budgets.
Desired Education:
  • Associate Degree or International Equivalent in Business Administration or certification or education in a related field. Bachelor's degree preferred.
Technology to be Used:
  • Organization-issued laptop and monitor, Microsoft applications (i.e., Office 365, SharePoint, Teams), internal employee platform Unily Connect, and standard office equipment if onsite.
Travel Requirements:
  • Less than 10%
The expected hiring salary range for this role is listed below. FHI 360 pay ranges represent national averages that vary by geographic location. When determining an offer amount, FHI 360 factors in multiple considerations, including but not limited to: relevant years of experience and education possessed by the applicant, internal equity, business sector, and budget. Base salary is only one component of our offer. FHI 360 contributes 12% of monthly base pay to a money purchase pension plan account. Additionally, all US based staff working full-time, which is calculated at 40 hours/week, receive 18 days of paid vacation per year, 12 sick days per year, and 11 holidays per year. Paid time off is reduced pro rata for employees working less than a full-time schedule. Hiring Salary Range: $57,000 - $71,000 This job posting summarizes the main duties of the job.
