Job Description

Welcome Health is a new medical group providing best in class primary care to older adults, both in person and virtually, including in the comfort of their own home. Grounded in the science and art of geriatric medicine, we seek to remove the barriers that older adults face in their pursuit of what matters most to them. We seek an experienced an Office Manager to support the day-to-day operations of a small office in Riverside and the overall Riverside market. 

What you will do? 

Front Desk   

  • Answer phones and guide patients by respectfully talking them through the steps and addressing their questions and concerns 
  • Perform patient registration and insurance verification, including ensuring the required patient forms are complete prior to the patient visit 
  • Schedule patient appointments 
  • Follow up with patients regarding upcoming appointments, annual wellness exams, or with new patients simply inquiring about Welcome Health 
  • Update patient demographics and insurance information 
  • Check-in and check-out patients for in-office visits 
  • Coordinate medical records request; scan and disposition medical records as received 
  • May assist with referrals and medical authorizations 
  • Collect copays and deductibles from patients 
  • Participate in various projects and/or meetings, and complete other tasks as assigned by management 

Medical Billing  

  • Using Athena, complete timely, efficient, and appropriate billing activities to reconcile services rendered ensuring proper and timely submission of claims as assigned following payer and internal procedures with minimal supervision 
  • Works assigned charge review and applies claim edits accordingly, resolving at the account level when possible to prevent recurring edits/errors and increase claim accuracy percentage 
  • Identifies issues and trends impacting quality and timely reimbursement and proposes potential solutions 
  • Verifying insurance/recipient eligibility, billing and follow-up on claims to Medicare, Medicaid and Private Insurer Payers to 
  • Exceeds quality and productivity standards 
  • Supports and actively participates in process improvement initiatives 
  • Assists with other duties to support the revenue cycle process 

Remote Visit Support 

  • Support the clinician in preparing the patient for the visit, which may include “virtual” rooming, conducting a home visit prior to the physician, or accompanying the physician for an in-home visit 
  • Contact patients to collect clinical and psycho-social information 
  • May conduct new patient intake, which includes an initial home assessment to prepare for in-person visits by the clinician, mitigate fall risk, teach infection control measures, etc. 
  • Schedule diagnostic testing 
  • Apply or assist with the application of durable medical equipment 

 

Administrative Duties 

  • Conduct routine quality control checks, including infection control measures, equipment QAs, and checks for expired medication and supplies 
  • Order supplies and stock exam rooms 
  • Participate in care team meetings to discuss patient care and clinic operations 
  • Other duties as assigned 

What we are looking for? 

  • 2+ years of experience managing or supporting an out-patient medical office, preferably in primary care 
  • Prior experience with medical billing, claims submission, and claims denials 
  • Experience working with physicians and other providers directly 
  • Superior customer service skills 
  • Multi-phone line and/or multi-channel experience 
  • Ability to type 35 wpm or more 
  • Data entry experience 
  • Prior experience working with older adults (65+) is strongly preferred 
  • High School diploma or equivalent; Bachelor’s degree a plus 
  • Basic proficiency in MS office products;
  • Prior experience using an EMR; prior Athena experience is a plus 
  • Fluency in Spanish or other languages (e.g., Korean, Tagalog, Mandarin, etc.) is highly desirable 
  • US work authorization
