Job Title: Senior Administrative Assistant (Part-Time)

Location: Frederick, MD

Compensation: $22 - $30 per hour (DOE)

Work Hours: Part-time, Tuesday through Thursday, 9 AM to 4 PM (with occasional flexibility based on project needs)

Reports to: Program Vice Presidents

Position Overview:

We are seeking a Senior Administrative Assistant to provide critical support on a part-time basis. This role will focus on short-term projects, including research, file organization, analysis, and customer inquiries, as well as assisting with administrative tasks related to staff meetings, travel coordination, and other meetings. The primary project is a time-sensitive customer support project to follow up on a recent mailing. This project is expected to last approximately two months.

Key Responsibilities:

  • Assist with organizing and reviewing files and documents.
  • Conduct research and analyze information to support decision-making.
  • Respond to customer inquiries with professional communication, both verbal and written.
  • Manage and prioritize a variety of administrative tasks, including quality assurance of data and formulating action plans for outreach.
  • Contact customers and clients by email and phone to resolve issues, including following up on a recent mailing distribution.
  • Provide general support to team members on a variety of administrative needs, including scheduling, travel coordination, and data reviewing.
  • Provide meeting coordination support including scheduling and hosting Zoom meetings, supporting in person meeting planning activities as requested, including but not limited to travel, accommodations, catering, technology, meeting agendas/materials, special events, ground transportation, and expense tracking.
  • Provide editorial and production support, including assisting in proofreading, photocopying, production, quality assurance, shipping and distribution of meeting materials.
  • Maintain confidentiality in all aspects of work, ensuring privacy and professionalism at all times.

Required Skills & Qualifications:

  • Strong proficiency in Microsoft Office products (Word, Excel, PowerPoint, Outlook) and Zoom.
  • Ability to use Adobe Acrobat.
  • Excellent verbal and written communication skills.
  • Highly detail-oriented with excellent organizational skills and ability to prioritize tasks.
  • Strong customer service skills, both on the phone and through email.
  • Ability to work well with others remotely, demonstrate diplomacy and discretion, and handle conflicting deadlines.
  • Comfortable managing a variety of tasks, both interesting and routine.
  • Willingness to ask questions and seek guidance when needed.

Additional Skills (Preferred):

  • Prior experience in administrative roles, especially with customer service or executive support.
  • Experience with business meeting coordination and travel arrangements.
  • Experience working with sensitive data and customer communications
